Who can do this:
Coordinators and Co-Coordinators with permission to edit the transaction.
A Flow represents one connected path of funds within a Basefund closing or transaction. It brings together the applicable senders, clearers, receivers, amounts, purposes, and supporting details for that movement of funds.
Every Flow belongs to a larger closing or transaction. A transaction can contain a single Flow or multiple Flows.
When to use multiple Flows
Use one Flow when the transaction has a single, connected receipt-and-disbursement structure.
Consider multiple Flows when the same transaction includes:
Distinct funding sources or paths
Separate groups of receivers
Different purposes or categories of disbursement
Multiple phases, draws, distributions, or funding events that should be tracked separately
Activity that should be completed or reviewed independently while remaining part of the same overall transaction
Multiple Flows preserve the shared transaction context while keeping each movement of funds easier to understand, manage, and audit.
Add a Flow
Open the closing or transaction from My Transactions.
Open the transaction-level menu.
Select the option to add a Flow.
Complete the Flow details requested by Basefund.
Save the Flow.
Open the new Flow and configure its Receipt of Funds and Disbursement of Funds.
Repeat these steps for each distinct path of funds that belongs in the transaction.
Set up the Flow
Within each Flow:
Add the organizations providing funds as senders.
Add a clearer when funds pass through a trustee, paying agent, or other intermediary.
Add each receiver and connect the disbursement to the appropriate funding source.
Add individual contacts for the participating organizations.
Invite the contacts who must join or complete actions.
Request or assign receiving accounts.
Monitor identity verification, bank-account validation, signatures, approvals, and insurance eligibility for the Flow’s disbursements.
The same transaction may use a different participant structure in each Flow.
Move between Flows
When a transaction contains multiple Flows, use the Flow navigation in the transaction workspace to open the Flow you want to review or manage.
Before making a change, confirm that you are working in the correct Flow. Participant roles, amounts, receiving accounts, documents, and completion statuses may differ from one Flow to another.
Edit a Flow
Open the Flow.
Open its Flow menu.
Select the edit action.
Update the available Flow details.
Save your changes.
Review the Flow’s connected participants and amounts after making a material change.
Close or delete a Flow
A Flow can have a different status from the overall transaction. This allows one Flow to be completed while other Flows in the same transaction remain open.
Depending on its status and your permissions, the Flow menu may include actions to close or delete the Flow.
Before deleting a Flow, confirm that it is the correct one and review its connected receipts, disbursements, participants, accounts, documents, signatures, and approvals. Basefund asks for confirmation before the Flow is deleted.
Closing or deleting a Flow does not necessarily close or delete the overall transaction.
Insurance eligibility within a Flow
Insurance eligibility is evaluated at the disbursement level. The required identity verification and bank-account validation must both be complete for each disbursement that should qualify for Basefund transaction insurance.
