Who can do this:
Coordinators and Co-Coordinators with permission to manage transaction participants.
Participants must be added to the transaction before they can be invited. Invitations provide access to the specific closing or transaction and identify any actions the participant must complete.
Before sending an invitation
Confirm that:
The participating organization is assigned to the correct role.
An individual contact has been added for the organization.
The individual’s name and work email address are accurate.
The person has been assigned the appropriate access and responsibilities.
Use an individual work email for anyone who needs to sign in or complete an action.
Shared mailboxes: A shared mailbox may receive transaction notifications, but it cannot sign in or complete identity verification. Add an individual contact when action is required.
Send an invitation
Open the closing or transaction.
Locate the participant in the applicable sender, clearer, or receiver section.
Open the participant’s contact list.
Select Send for the individual contact.
The invitation directs the participant to the closing or transaction. A new Basefund user will be prompted to create an account. An existing user can sign in with their individual work email.
Send a reminder
After an invitation has been sent, the participant action changes to Remind when a reminder is available.
Use Remind if the person has not joined or still has required actions. You may also want to contact the participant separately so they know to expect a Basefund email.
If an invitation link has expired or can no longer be used, send a new invitation or reminder from the transaction.
Monitor participant progress
Depending on the participant’s role, Basefund may require the person to:
Create an account or sign in
Accept access to the closing or transaction
Complete identity verification
Add, select, or approve a receiving account
Complete bank-account validation
Review or sign a disbursement
Complete another assigned approval
Coordinators and Co-Coordinators can monitor completion statuses, but they cannot complete identity verification for another person.
Identity verification and insurance
A valid identity verification may be reused until it expires or Basefund requires it to be completed again. The required identity verification and bank-account validation must both be complete for a disbursement to qualify for Basefund transaction insurance.
Troubleshooting invitations
If a participant cannot find the invitation:
Confirm the email address on the contact record.
Ask the participant to check spam or quarantine folders.
Send a reminder.
Confirm that the person is signing in with the same individual work email that was invited.
