Using a Shared Mailbox in Basefund

Understand how shared organizational email addresses can receive Basefund notifications and why an individual work email is still required for sign-in and verification.

A shared mailbox is an organizational email address used by more than one person, such as [email protected] or [email protected].

Basefund can use a shared mailbox for organizational notifications and transaction communications. A shared mailbox does not represent an individual person and cannot sign in, complete identity verification, or perform an action that must be attributed to a specific individual.


When to use a shared mailbox

Use a shared mailbox when your organization wants a central address to receive transaction notifications or maintain visibility across a team.

Do not use a shared mailbox as the only contact when someone must:

  • Sign in to Basefund

  • Complete identity verification

  • Add or approve a bank account

  • Sign a disbursement

  • Complete an approval or another assigned action

Add an individual contact with a work email for those actions.


Sign in with an individual work email

Sign up or sign in with your individual work email to verify your identity and complete assigned actions. Manage the shared mailbox from your account settings after you have signed in.

Basefund may ask you to confirm your organization’s access to a shared mailbox.

Follow the on-screen instructions and enter any confirmation code sent to that mailbox.


For Coordinators and Co-Coordinators

When adding contacts to a transaction:

  1. Add the shared mailbox when the organization wants central notifications.

  2. Add at least one individual contact when the organization must complete an action.

  3. Confirm that each individual contact uses a work email associated with the correct person.

  4. Send the invitation to the person who must sign in and act.


Security reminders

  • Do not share one individual’s Basefund account with a team.

  • Do not forward passkeys, authentication codes, or identity-verification links.

  • Do not send complete bank instructions through a shared mailbox.

  • Remove or update individual contacts when responsibilities change.
